If you are a driver
Open the app, go to the Pay tab, and tap Close my account. Confirm it. That is the whole procedure; there is no form to fill in and no one to phone.
What happens next:
- Your sign-in stops working at once. The app on your phone is signed out, and a code sent to your email will no longer open it.
- Your carrier is told, and so are we.
- The carrier keeps the work records that name you — the loads you ran, the times you recorded, your statements, your compliance file — for as long as tax and transport law require it to. In most cases that is six years for pay and tax records and three years after you leave for the compliance file. Those records are the carrier’s legal obligation, and closing your account does not shorten it.
- When the retention period ends, your profile — name, phone, email, emergency contact, licence images — is deleted, and the statements that remain name a driver number instead of you. Location pins on your stops are deleted after twenty-four months regardless.
If you want a copy of your statements before you close the account, open and save them from the Pay tab first — each one is a PDF. If you cannot use the app, write to privacy@vasthaul.com from the email address on your account and we will close it for you and confirm when it is done.
If you are an office user
Ask the carrier’s owner to remove you, or write to privacy@vasthaul.com from the address on your account. Your sign-in is revoked the same business day. The record of what you did in the product — which loads you dispatched, which invoices you sent — stays, because it is part of the carrier’s records, and the name on it is not removed while the carrier keeps them.
If you are the carrier
An owner can export everything in the account from the product at any time: every table as files you can read without us, and a bundle of every document. Ask and it is delivered within thirty days at the latest.
To close the account, an owner ends the subscription in the product or writes to privacy@vasthaul.com. The account becomes read-only for thirty days so you can take the export. After that we keep the records for the retention period the law requires of you — by default seven years — or delete them sooner on your written instruction, except for any record we are ourselves required to keep, and we confirm the deletion in writing.
Why it works this way
A trucking company is required by law to keep its pay records, its tax records and each driver’s qualification file for years after the fact, and an inspector or a court can ask for them. That is why a driver’s work records cannot vanish the day the account closes, and why the carrier, not us, decides when they go. What can go at once is your access, and it does.
